Why Notion instead of Google Drive or other software?

What is Notion?
Notion is an all-in-one workspace where we build your operations manuals. Instead of scattered files in Google Drive or Word docs, Notion gives you one clean, organized hub for SOPs, checklists, and workflows. At Operations Mavenue, we use Notion to create manuals that are easy to search, update, and actually use — so your team always knows where to find the right information.
Can our team access the Operations Manual from anywhere?
Yes. Because the Operations Manual lives in Notion, it's cloud-based and accessible from any device, desktop, tablet, or mobile, as long as team members have the appropriate permissions.
I have screenshots and video training I'd like to have included in my Operations Manual. Can I add them to Notion?
Yes, it's very easy to add images or videos to Notion. Just type "/image" or "/video" wherever you'd like to add them and upload the file. That's it!
I've never used Notion. How simple is it to learn and/or use it?
Notion is very beginner-friendly — most people pick it up within a few minutes. If you can use Google Docs, you can use Notion. We’ll set everything up for you, so all you need to do is open your manual, browse, and make small edits when needed. And if you ever get stuck, we’re here to guide you.
Will I need to pay to use Notion?
Notion is free if you’re adding 10 people or fewer to your Operations Manual. If your team is larger than that, you’ll need their paid plan, which is about $12/month. The good news is, it’s not a per-user fee — your team is added as guests, not members — so you only need one paid account to share your manual with everyone.
What else can I use Notion for in my business?
We run Operations Mavenue all from Notion.
It can be used to build simple CRM systems, leads and client dashboards, task management boards, company calendars, meeting trackers, sales call trackers, KPI trackers, forms and surveys, and more.
We usually recommend starting with the Operations Manual first, then building other operating systems on top of that SOP foundation.
Can I download the manual from Notion as a hard copy?
Yes, Notion allows you to export your content as PDF, CSV, and other formats.

Can you build an operating system and dashboards for our team?
Yes, our team builds operating systems as well.
Our usual recommendation is to start with the Operations Manual first, because SOPs should come before building broader operating systems (OS).
Once the SOP foundation is in place, we can also build dashboards, trackers, and other OS elements in Notion.
Do you offer training for Notion?
Yes! Once your project is complete, we offer a 1-hour training session for your team to help them get comfortable using Notion and the Operations Manual.

How does Operations Mavenue differ from Trainual?
Trainual is a DIY (do-it-yourself) platform where you build and maintain your own SOPs inside the software, with ongoing monthly subscription fees that increase as your team grows.
We provide a DFY (done-for-you) service. We work 1:1 with you/r team to extract, refine, document, and organize your SOPs and operational structure — and build your complete Operations Manual in Notion.
Our service is a one-time fee with lifetime access. There are no ongoing “SOP storage fees" or monthly costs. You own your manual outright, with no recurring charges.
In short, Trainual provides the software and you do the work. We don’t just provide the tool (Notion) — we partner with you to build your SOPs and Operations Manual from the ground up.
What's your process for the Custom Operations Manual Service?
We build your manual step-by-step through focused virtual collaboration.
Each week includes 1-2 sessions with a 2-hour Knowledge Extraction call (your time commitment), followed by a full day of Operations Manual buildout in Notion (our time commitment).
We continue this process progressively until your manual is complete.
Will you charge us a subscription fee?
We won't. The only ongoing cost is Notion itself, which is free for teams of 10 or fewer. For larger teams of 100 or fewer members, it's $12/month per user.
How are Operations Manual projects managed by your team?
We manage everything end-to-end — no prep required on your end.
We have an established, step-by-step process: all you need to do is show up to our calls and answer our questions.
We'll facilitate the calls, extract knowledge from your head, build your SOPs, create your to-do lists, and refine and organize everything in Notion.
By the end, you’ll have a strong, scalable Operations Manual to help you scale your business effectively.
Can you add my existing SOPs and documents to my custom OM?
Absolutely. Many clients come to us with some SOPs already in place but struggle to organize them in a way that's well structured and easy for their team to use.
We'll review any SOPs, checklists, or documents you already have, update or improve them if needed, and incorporate them into your manual. That way we'll be building your OM around your existing SOPs, which saves time and avoids duplication.
My SOPs are in another tool, can you extract them from there?
Yes, we can. We'll either migrate the content into your Operations Manual or link to it, whichever makes more sense for your processes.
Can I use your service to have a Training Manual, or Employee Handbook, Company Playbook, or Operating Manual, etc. built for my business?
Yes, you can. Essentially, all of these are forms of an "operations manual" because they provide crucial information about your business's systems and processes, policies, culture, and guidance on how to carry out specific tasks within your business.
Will I be able to update and/or edit the Operations Manual on my own after you built it for us?
Yes. Notion makes it simple to edit and update your manual anytime you need — no tech skills required. You won’t have to rely on us for every change, but we’re always here if you’d like support or help with bigger updates.
How will you capture our processes if we've never documented them before?
Most of our clients start with very little documentation. During the project, we guide founders and key team members through structured Knowledge Extraction calls, where we ask questions about how the business currently operates. We then convert that information into clear SOPs and a structured Operations Manual.
Will you guide us during the KE calls if you identify issues in our processes/SOPs?
Yes! Our Business Process Consultants don't just document what you share — they'll also flag any gaps or inefficiencies they notice and make suggestions to improve your existing processes and SOPs.
Do we need to prepare anything before starting the project?
Not at all. A major part of what we do is helping you clarify and structure your processes, even if they're currently informal or undocumented. You don't need to have anything organized beforehand, that's what we're here for.
Do you help us implement the systems after they're built?
We offer several ways to support you after your Operations Manual is complete.
We have free resources, including a webinar, that help you with OM adoption and implementing a systems-thinking culture in your business.
We also offer an operations consulting service to help you adapt your processes, optimize your operations, and build a culture around using the OM.
How long does a project typically take?
There’s no set timeline. It depends on several factors, including the size of your team, the variety and complexity of your services, the complexity of your processes, and the scope of your Operations Manual.
Most projects are completed within 4–13 sessions. With two sessions per week, this typically translates to 2 to 6.5 weeks.
If you need the project completed more urgently, please let us know during your Discovery Call, and we can adjust your project schedule accordingly.
How many daily sessions are typically required to complete the project?
The number of sessions required for a project depends on several factors, including the size of your team, the variety and complexity of your services, the complexity of your processes, and the scope of your operations manual.
Most projects are completed within 4–13 sessions.
Do I need to commit to a certain number of sessions?
No. There's no session commitment — we continue as long as you need or until your Operations Manual is complete.
What is a typical sessions cadence?
Our standard cadence is 1 to 2 sessions per week.
I'm about to hire someone soon, can you build the manual in a specific timeframe?
We can! We'll do our best to prioritize the SOPs you need for onboarding. Reach out to us and share your timeline, we'll do our best to accommodate it.
Can you create quizzes in my manual for new and existing hires?
Yes! We include a quizzes section in your Operations Manual that can be customized with your own questions. It's a great way to reinforce learning, test OM adoption, and ensure your team is retaining key information from the SOPs.
When will the Knowledge Extraction calls take place?
Ideally in the morning. This allows enough time after our call for your Business Process Consultant to work on building your manual the same day, following our daily (full-day) session structure.
How much time would we need to dedicate to the project weekly?
Just two hours per session for the Knowledge Extraction Call. We handle everything else, you just show up and answer our questions.
Are some of your consultant specialized in specific industries?

I have different teams in my company. How will their SOPs be handled in the manual?
We set up dedicated SOP hubs for each of your teams inside your Operations Manual. This way, every team has their own space for processes, and access is restricted so they only see the SOPs that are relevant to them.
How can I make sure my team uses the Operations Manual once you've built it?

Will you help us keep the manual up to date after the project?
Yes! Once your OM is complete, we can transition to our OM Maintenance service, and continue to support you by adding new SOPs, updating existing content, hosting support calls, or anything else your OM needs as your business evolves.
This is a flexible, usage-based model — not a monthly subscription. You pay for one session at a time, your balance carries over, and we deduct time as work is completed.
Who owns the Operations Manual?
You own the OM. We start by building the initial structure, then transfer ownership to you at the end of the very first session. From there, we work directly on your copy. The Notion workspace lives under your account, so you retain full ownership of your processes and data.

Our experience with clients has shown us that starting with a template significantly reduces the complexity and time for any business owner to build their manuals, compared to starting from scratch on a blank template.
Our pre-built manuals provide a solid foundation, making it easier for business owners to visualize and customize their own manuals.
If I buy a template, can I switch to your Custom OM Development Service later?
Absolutely! If you start with one of our templates and later decide you'd like us to build a custom Operations Manual for your business, we'll deduct the price of your template purchase from your first session. This way, your template investment goes toward your custom project.
